Event apps
We all like to think that we like surprises, but the reality is that few of us do. An event app accessible by mobile phone or tablet is a great tool for putting the details of the event literally in delegates’ hands.

When it comes to delegates at a conference, people who have easy access to information on the sessions and speakers – and the breaks in between – are more able to relax into the event and use those busy braincells for learning and networking instead of wondering if they are in the right place.

Create an event app that provides tools for wayfinding, for the agenda plus access to detailed information about the sessions. There are quite a few types of content that you can include in your event app to provide easy access to information for delegates, and reduce questions being asked of your event staff.

  1. Pre event content – are there any content pieces that would be useful for delegates to reference before the session? This could be a whitepaper written by the session speaker, or someone else. It could be a video on a related topic.

  2. Full Agenda – include the full program on the app with timings for each session and the break in between.

  3. My agenda - If you have a multi-stage conference, consider an app that allows delegates to create their own agenda by saving or tagging the sessions that they want to attend.

  4. Feedback forms – want to know what delegates thought of the session? Include a feedback form per session to be able to collect invaluable feedback on the topic and the presenter/s.

  5. Presenter details – help delegates understand who is on stage, and more importantly, why. A speaker photo and bio, with relevant links to websites or social channels can help delegates decide on which presenter is relevant and credible for them.

  6. Post-event content – some sessions or presenters are so dynamic that delegates will want to know more. Use your app to provide the next step for gaining more information on the topic or the speakers. If you have recorded the session content, this can be offered back to delegates on the app as a post-event refresher/reminder.

  7. Wayfinding – include the basic information people need to be comfortable at your event in the app. Where are the toilets? Where are the lifts to the car park? Can I get my parking ticket validated for event parking rates?

There are quite a few types of content that you can include in your event app to provide easy access to information for delegates, and reduce questions being asked of your event staff.

Never bored: Future focussed Board Education Tour

A recent project by Emvoke was the curation of a mini, mobile conference – a four-day, multi-site education tour for a Board of Directors and Executive Leadership Team.

The client was a large corporate organisation with a particularly enlightened culture, vision and values. They are already leaders and innovators in their industry, and the task was to create an education program that would help the Board to think even further ahead, with a focus on technology and innovation.

The challenges for this program development included how we can provide a story arc that would provide coherence to the 10+ sessions, and to ensure that there was relevance for the business, rather than it being a parade of shiny things.

Research on topics included engaging with the organisation’s staff. Interviews with the management leadership team about the topics they believe should be put in front of their Board unleashed a river of excellent suggestions. Collating responses followed by deep consideration of the topics provided an intriguing ‘long short’ list to choose from.

We overlaid this onto the possible locations for this Education Tour, to find alignment with organisations and businesses that could share their knowledge. We found a geographic area that was amazingly rich with innovative organisations, and used this to refine to a ‘shorter short list’.

We also wanted the program to provide an experience of building up on knowledge over the program, so we programmed it to introduce topics which would be picked up in later sessions, so that one session pricked the interest in a topic which would be fulfilled in another.

We fortunately had an abundance of great content ideas, and the cull to the final program was kinda sad, as many great learning opportunities had to be left aside.

And that is due to another key priority for this program: bonding post-covid. We planned the event to provide time and opportunity for the in-between conversations that build relationships. We included some non-education activities and some relaxed meals to encourage delegates to debrief or just have some fun together, to build up the kind of relationships that make running a multi-billion dollar company easier.

Some key points:

  • Delegates were provided with access to an event app one week before the tour, and the app included pre-event reading and viewing that provided background information and added value to the program.

  • The keynote session was a highly engaging, multi-media and multi-modal session that provided introduction to key concepts that would arise across the full tour program.

  • Several sessions in the program included a stimulus presentation followed by a workshop or activity components that saw delegates explore ideas as a group, and to develop solutions or links to the organisation’s strategy and mission.

  • A number of the sessions were recorded by a professional audio-visual team. The content will be edited and packaged as a ‘lunch and learn’ video packages to share with other staff.

  • Feedback was collected via online forms immediately following each session, and a dedicated feedback session was the last session of the tour. This helped organisers to capture delegates’ responses before they could be socialised and moderated by comparison with other – or just forgotten.

How to multiply the value of conference content

As anyone who has organised a conference or education event knows, so much time, effort and money are invested to make sure that the program content is engaging and that the on stage delivery is impactful. However, by their nature, events are ephemeral and once the session is over, all that is left is the memory (and hopefully the change your program has provoked in your delegates).

You can multiple the benefits of your investment in creating great content by extending the budget to include professional audio video recording of the session, and gain hours of content ready for repackaging for education or marketing purposes.

Of course, we are not talking about recording on someone’s personal digital SLR camera and hoping for the best. There is no joy or benefit in watching jumpy, grainy video of a presenter that you can barely hear over the chair fidgets of the audience. Professional quality equipment in the hands of an AV profession has a much better chance of capturing content that can be repurposed.

Use a quality microphone, ideally a lapel mic, will capture clear audio from the presenter, while the videographer will keep clear view of the speaker at all times. A second camera on the screen can help you to edit the content between the speaker and the screen content to give good flow to the final output.

Capturing B-roll or ancillary video of the event, such as footage of the audience engaging with or enjoy the session, provides filler vision so that the final package is less of a ‘talking head’ and more or a well rounded rendition of the experience.

The content can be delivered as a full or summary of the single session, or another option is to curate the content into a montage of content or a series. This can be done by using content from a few sessions and create narrative bridges to thread them together. Some good examples of this is by the awesome TED events, particularly in their TED Series, Playlists and TED Radio Hour offerings.

The content can be offered as post-event materials for delegates; as online learning for non-delegates; or for marketing the next event to future delegates and/or speakers.
